What is the legal basis for processing your personal data?

For the purposes of the General Data Protection Regulation (GDPR), Ipsos is the Data Controller for this survey. This means Ipsos is responsible for deciding the purpose and legal basis for processing data from the survey. Ipsos is also the Data Processor. The legal basis for processing your personal data is ‘consent’, based on you agreeing to take part in the survey.

How will Ipsos use any personal data, including survey responses you provide?

Firstly, responding to this survey is entirely voluntary and any answers are given with your consent.

For research involving children aged under 16, we will always seek consent from a parent, legal guardian or another person legally responsible for the child, before inviting them to take part in the research.

Ipsos will keep your personal data and responses in strict confidence in accordance with this Privacy Policy. Ipsos can assure you that you will NOT be identifiable in any published results.

Ipsos will use your personal data and responses solely for research purposes and to produce anonymous, statistical research findings and insights.

How will Ipsos ensure my personal information is secure?

Ipsos takes its information security responsibilities seriously and applies precautions to protect your information from loss, theft or misuse. These precautions include appropriate physical security of our offices, controlled access to computer systems, and use of secure, encrypted internet connections when collecting personal information.

Ipsos have the ISO27001 and Cyber Essential accreditation standards to ensure a safe and secure infrastructure. Ipsos will continually review and improve its information security measures to ensure they continue to effectively support the business and remain compliant with our legal, regulatory and contractual obligations.

How long will Ipsos retain my personal data and identifiable responses?

Ipsos will only retain your data in a way that can identify you for as long as is necessary to support the research project and findings. In practice, this means that once we have satisfactorily reported the anonymous research findings, we will securely remove your personal, identifying data from our systems.

If you have agreed to be re-contacted, your contact details will be held separately and for no longer than 2 years from the date that you have agreed. It will then be securely deleted from our systems.

Who will have access to my information?

Your information may be processed by:

Those Ipsos staff involved in this research project, or who need access in order to directly support the systems used. This may include staff in:

• Our sub-contractors who may carry out some of the processing on Ipsos’s behalf, and under Ipsos’s control; for example: the service providers who host or provide technical support for our systems.
  This may also involve transferring your personal information to other countries, including Australia. However, we can reassure you we take great care to ensure any transfers are carried out securely and in compliance with all applicable data protection and data privacy legal requirements through a set of Binding Corporate Rules for all companies under the Ipsos Company Group. We can also assure you that any sub-contractors involved are also required to abide by the same contracted data privacy legal requirements and security arrangements as Ipsos.
• If participating though our online diary or mobile app, our sub-contractor, BI Worldwide, will provide the monthly incentives for the panellists, albeit with the data being pseudonymised, and the panellists being asked to register directly with BI Worldwide.
• If participating offline, with contact being with Ipsos via writing and telephone calls, contact details will be passed to BI Worldwide to enable them to despatch monthly rewards and to answer any rewards related queries.
• It may be that Ipsos is a joint controller with the data collector in which case you should be aware of their Privacy Notice and give explicit consent, or agree to lawful processing under legitimate interest, for them to use your personal data for the stated purpose(s).

What cookies do you use to store or collect information?

By joining the RAJAR National Radio Listening Panel and taking part in our online research, you agree to our and our partners’ use of cookies and similar technologies (collectively known as “Cookies”) and the collection of information from your PC/Laptop/Tablet/ Smartphone or other computing device you may use whilst taking part in our online research activities.

Our Panel website and online surveys collect information using ‘cookies’ and functionally similar technologies. Cookies are small files stored on your computer. Specifically, in respect of cookies, further details of what cookies are can be found by visiting aboutcookies.org.

You can prevent the Radio Diaryplacing the above cookie(s) on your machine by changing your browser settings. However, if you do prevent the site from using cookies, the Radio Diary will not work properly, and you will not be able to use the site.

In addition to the use of cookies, we also automatically capture information about your operating system, display settings and browser type in order to ensure that the survey questionnaire is delivered in a form suited to the software your computer is using, and to assist you should you have problems using the Radio Diary. We do not capture any other information from your computer.

Your rights

You have the right to access your personal data within the limited period that Ipsos holds it.

Providing responses to this survey is entirely voluntary and is done so with your consent. You have the right to withdraw your consent and to object to our processing of your personal data at any time.

You also have the right to rectify any incorrect or out-of-date personal data about you which we may hold.
